Position Descriptions

This is the first attempt to post position descriptions for the various positions needed. This is a work in progress, so if it is incomplete or funky, please be patient. We will be working on it as quickly as we can.

Chair

  • Time Requirement:
    • Very High
    • 12 months to 3 months pre-con: 10 to 20+ hours a month
    • 3 months to con: 3 to 10+ hours per week
    • At-con: 20+ hours
    • Following con: 20+ hours
  • Meeting Requirements:
    • All CONcom meetings
    • All Board of Director meetings
    • Ensure sub-committees are appropriately monitored
    • Occasional other meetings as required
    • Arrange a temporary chair for any missed CONcom meetings
    • This is a Board of Directors position
  • Duties:
    • Runs main Planning Committee (CONcom) meetings
    • Prepares Agenda for CONcom meeting
    • Represents CONduit needs to the Board of Directors
    • Oversees CONduit efforts by keeping track of all positions and their plans, watches for gaps and problems
    • Facilitates interdepartmental cooperation
    • Monitors and facilitates communications
    • Facilitates improvements in slow or non-performing departments
    • Makes problem-solving calls as needed, especially right before and at the convention
    • CONduit cheerleader



Co-Chair(s)

  • Time Requirement:
    • Very High
    • 12 months to 3 months pre-con: 10 to 20+ hours a month
    • 3 months to con: 3 to 10+ hours per week
    • At-con: 20+ hours
  • Meeting Requirements:
    • All CONcom meetings
    • All Board of Director meetings
    • Monitor any sub-committees at the request of the Chair
  • Duties:
    • Runs main Concom meetings when Chair is not available
    • Backs up and aids Chair in her/his duties. (Co-chairs may choose area(s) of the convention to oversee on behalf of the Chair)
    • Solves problems and facilitates communication as required.
    • Serves as "First line of communication" for inquiries coming to the Chair. Communication with the chair should be picked up by the co-chair



Treasurer

  • Time Requirement:
    • Very High
    • 12 months to convention: 3 to 10+ hours a month
    • At convention: 15+ hours
    • After convention:
  • Meeting Requirements:
    • Most CONcom meetings
    • Most to all Board of Director meetings
    • Calls Financial Committee meetings as required
    • Sets separate meetings for financial issues (art show, budget) as required.
  • Duties:
    • Tracks CONduit funds, keeps books, tracks budget
    • Makes deposits, writes checks
    • Is one of the two check signataories
    • Works with Board Of Directors financial representative to audit and verify books as required
    • Gives monthly financial report at CONcom meetings
    • Gives current budget and past financial information as needed
    • Works with Registration to make sure any membership funds given to the Treasurer has had the registration info given to Registration
    • Cautions CONcom about overspending as required
    • Tracks any investments and adds/removes money as required
    • Gets change in advance for convention sales points (registration, print shop, art show, Mascot contest)
    • Gathers, records and deposits money taken in at the convention at regular intervals with Security escort.
    • Takes cash box to bank safe nightly and retrieves it for the next day.
    • Oversees Art Show and Print Shop finances (checks books, monitors bank statements and makes deposits/payments as required)
    • Makes sure our bank is the correct bank for our needs if required



Secretary

  • Time Requirement:
    • Moderate
    • 12 months to con: 3 to 15 hours per month
    • At-convention: minimal, depending on assignments from Chair
  • Meeting Requirements:
    • Most CONcom meetings
    • Other meetings as needed
    • Arrange for note-taking for CONcon meetings not attended
  • Duties:
    • Take notes and roll at meetings
    • Be especially careful to record issues voted on and the numbers of votes each way
    • Post Concom meeting notes to Concom mailing list in a timely manner
    • Keep general tabs on Concom list discussions, archive summaries and other important information as assigned by Chair
    • Generates, archives Corporate paperwork as needed
    • Informs all Board Of Directors members of upcoming meetings
  • Notes:
    • Organizational skills are a big plus. People need timely access to information in the secretary's keeping
    • Having two people take notes is helpful. Different people will record different aspects of the meetings.
    • This leaves one person free to deliver hand-outs and be sure everyone gets a chance to sign the roll.



Hotel Liaison


Time Requirement: Very High
12 to 3 months pre-con: 10 to 20 hours a month
3 months to con: 3+ hours a week
At the con:  Several hours before the start and all through the con

Duties -
- Finds new hotel (If required):  visits and assesses hotels, solicits bids, presents info to Concom for decision making
- Contracting with Hotel: Negotiates contract, makes sure Concom is aware of provisions of contract as necessary, makes sure hotel is aware of provisions as necessary, sets up hotel bill payment(s)
- Room Sets: Gets room sets to hotel from all areas that use physical space at the convention, checks room sets each morning of convention, makes changes as required and signs off with hotel- Interfaces between hotel and Concom as necessary (info gathering, tells hotel who has billing authority, etc.)
- Writes hotel articles for con publications
- Oversees hotel environmental systems (heat, cooling, etc.) and requests changes as necessary.
- Solves hotel/convention problems as necessary 
- Works with Ice Cream Social organizer to order ice cream flavors from Hotel.
- Special Note: phones need to be removed from con space such as consuite and green room to limit phone bill liability
- Special Note 2: hotel liaison must have a copy of the hotel contract accessible during the actual convention in case of problems with the weekend hotel staff, and during meetings with the hotel.
- Special Note 3: Because all most all of the Breakfast with the Guests job concerns interfacing with the hotel, the hotel liaison is the logical person for this position.
- Special Note 4: Hotel Liaison needs to work with the hotel to ban room service charges being billed to the con.

Guest of Honor Liaison


Time commitment: High
12 months to 3 months before con: 10+ hours a month
3 months to convention: 3+ hours a week
At con: All morning/afternoon on initial day, 5+ hours a day otherwise
Meeting Requirement: Most Concom, most programming committee

Duties
- Responsible for all communications with convention Guests of Honor, past guests and special guests as necessary (works with Local pro liaison to make sure every guest is covered)
- Establishes contact with those the Concom has voted to ask to be a guest, sends invitations, negotiates deal between Concom and guests if required.
- Interfaces between Concom and guests. Works with programming to schedule guests
- Researches transportation costs, works with Treasurer to buy tickets, makes arrangements for airport-to-hotel transportation as required.
- Purchases, assembles welcoming gifts (flowers, fruit basket), works with Hotel Liaison to insert in rooms.
- Gets guest bios to publications and web site, writes articles concerning guests or helps find someone to do it.
- Helps con ops find guests at the con, makes sure guests get their badges and schedules, works with guests to better their con experience as required.

Local Pro Liaison

At con: All morning/afternoon on initial day, 5+ hours a day otherwise
Meeting Requirement: Most Concom, most programming committee

Duties
- Responsible for all communications with local guests and other panelists as necessary (works with  GoH liaison to make sure every guest is covered)
- Establishes contact with those the programming committee asks to be panelists, sends invitations, negotiates between Concom and guests if required.
- Interfaces between Concom and guests. Works with programming to schedule guests. Sends copy of individual schedules to guests and works out changes with programming
- Makes arrangements for ground transportation as required.
- Gets guest bios to publications and web site, writes articles concerning guests if applicable
- Helps con ops find guests at the con, makes sure guests get their badges and schedules, works with guests to better their con experience as required.
- Special Note: there will be 100+ guests that the Local Pro is working with.

Programming Chair


Time Requirement: High to Very High
12 months to 3 months: 10 to 20 hours a month
3 months to con: 5 to 10+ hours a week
At con: 5 to 15 hours 
Meeting Requirements: Concom, Programming. Special meetings as required (fan clubs, etc.)

Duties
-  Runs programming meetings, schedules extra meetings as required
-  Coordinate with general Concom for hotel space, resources, etc.
-  Tracks, helps generate, and requests panel ideas
-  Tracks panelist suggestions
- Works with programming committee to schedule panels and panelists, generate ideas, check schedule for conflicts and smooth flow
- Works with GoH and Local pro liaisons to contact & schedule panelists
- Works with Gaming, Masquerade, Art Auction, Filk etc. to schedule events involving other departments
- Writes articles for publications concerning programming; makes schedule available to web site and others (pocket program, confirmation etc.)
- Assigns, writes, edits and assembles blurbs and sends to Program Book chief.
- Works to get a good mix of events, checks schedule with Ops and guest liaisons to make sure guests are reasonably programmed, checks for conflicts, room size requirements, equipment usage
- During con, Programming may be called on to help Ops with info or problem-solving. Sees how well the plans made actually works out if possible.
- Special Note: All events that require extensive pre-con planning should have a specific organizer in charge of that event (Filk Concert, Art Auction, Game Shows, Trials, etc.)
- Special Note 2: The programming chair turns responsibility for the schedule over to Programming Ops 1 to 2 weeks before the con (usually about when the pocket program can’t accept any more changes) as Ops must then be the one to track and publicize changes.

Programming Operation


Time Requirement: High
12 months to 3 months pre con: 10+ hours a month
3 months to Con: 5+ hours a week
At Con: 50+hours (1 hour before con starts for the day to end of programming day)
Meeting Requirements: Concom, programming, others as needed
Job Definition /Distinction: The Programming Chair makes the schedule before the con;  Ops makes the schedule work at the con.

Duties
- Recruits, trains, schedules Ops personnel
- Works with Programming Chair to understand all aspects of the schedule. Checks programming plans for feasibility and tries to head off as many would-be problems as possible (panels in rooms sized correctly for anticipated audience, equipment needs and flow, room set-up needs, panelist concerns/replacements, etc.)
- Gets responsibility for the schedule 1 to 2 weeks before con. Tracks and publicize changes at that point and at the con, deals with scheduling last minute guests and deals with last minute guest changes (can’t come to con, can’t come to con when expected, wants to be on a panel not scheduled for, etc.)
- Makes, organizes, directs Ops personnel to utilize name signs (tent signs), 5 minute signs and panel listings as required
- Makes sure enough panelists are at panels, finds errant panelists or finds last minute substitutes as necessary. 
- Makes sure panel gets started
- Makes sure panels are ended on time
- Troubleshoots as necessary, works with Chair, Guest Liaisons, Hotel Liaison etc. to solve and head off problems.
- Makes arrangements for, organizes, sets up equipment as necessary (easels, slide projectors, TV/VCR’s etc.) for panels with equipment needs

Position: Gaming Chair


Time Requirement (excluding meetings): varies (mostly high)
  10+ months pre-con: 2-4 hours/month
  10-2 months pre-con: 1-4 hours/week
  2-0 months pre-con: 4+ hours/week
  at the con: 10+ hours
Meeting Requirements: Concom, Gaming
Suggested Additional Meeting: Some Programming

Duties:
  General:
 - Coordinate with general Concom for hotel space, resources, etc.
 - Recruit committee members to oversee CCGs, RPGs, Minis, LARPs, and RPGA tournaments.
 - Recruits/Coordinate the Gaming Ops position.
 - Gather prize support for gaming activities by contacting Game Companies for sponsorship.
    Provide material for Progress Reports and for Program Book.
  10+ months pre-con:
 - Arrange for committee positions (CCG, RPG, etc.)
 - Arrange with Computer Services to get online game registration ready.
 -  Allocate rooms to game types (CCG, RPG, etc.)
  10-2 months pre-con:
 - Oversee gaming committee sub-heads activities, insuring that they are actively soliciting for GMs to run games at the con.
 - Allocate extra room space to special events, as well as to overflow games (CCG, RPG, etc.)
 - Work with Gaming Ops to recruit volunteers to man the Gaming Registration table.
 - Get table layout to Hotel Liaison.
 - Work with Programming committee to arrange Gaming panels.
  2-0 months pre-con:
-  Makes sure Preregistration gets GM, gaming staff and gaming company reps information.
 - Lock down Gaming Schedule for publication in various media.
 - Lock down Gaming Registration schedule and train volunteers in  procedure.
 -  Prepare Gaming Registration materials.
  - Collect prizes and assign to various activities.
  at the con:
 -  Set up Gaming Registration and Gaming rooms Friday morning.
 - Keep Gaming Registration materials overnight, and make sure they are in place every morning and gathered every evening.
 - Watch Gaming Registration table to make sure it is constantly manned (with Gaming Ops).
 - Watch Gaming rooms to make sure things run smoothly (with committee  members).
 - Remain on-call to handle any problems that may occur (requires use of Con Radio), and arrange for other committee members to be on-call  when you are not.
 - Take down Gaming Registration and Gaming rooms Sunday evening.

Position: Collectible Card Game (CCG) Coordinator

Position: Role-Playing Game (RPG) Coordinator

Position: Miniature and Table-Top Game (Mini) Coordinator

Position: Live-Action Role-Playing (LARP) Coordinator


Time Requirement (excluding meetings): medium
  10-2 months pre-con: 2-4 hours/month
  2-0 months pre-con: 4+ hours/week
  at the con: 5+ hours
Meeting Requirements: Gaming
Suggested Additional Meeting: Concom

Duties:
 - Arrange for Game Masters, Tournament Directors, etc. (GMs) to run games  within a specific style of game.  This includes actively recruiting GMs, as well as simply scheduling any GMs who volunteer through either  the on-line interface, or through email or other means of contact.
 - Decide how to use the space within one or two rooms to best facilitate that particular style of gaming, and provide a layout to the Gaming Chair for the Hotel Liaison.
 - Arrange for any special needs for unusual games, including possibly  passing GMs along to a different coordinator or to the Gaming Chair in general.
 - At the con, watch over the room(s) assigned to their gaming style, insuring that no con or hotel rules are being broken.  Aid in whatever setup and take-down may be necessary for their room(s).   
- Assist where needed at the Gaming Registration table and possibly take a shift as the on-call Gaming staff.

Position: Gaming Ops


Time Requirements: medium to high
  10-2 months pre-con: 3+ hours/month
  2-0 months pre-con: 4+ hours/week
  at the con: 10+ hours
Meeting Requirements: Gaming
Suggested Additional Meeting: Concom, Programming

Duties:
 - Work closely with Gaming Chair to make sure all scheduling needs are met.
       See Gaming Chair write-up for more specifics.
 -   Work with general Ops to make sure all material needs (tables, etc.) for  Gaming space are met.
 - At the con, help set up and then watch over Gaming Registration table to  make sure it is always staffed.  Possibly take a shift as the on-call Gaming staff.  Also, assist with take-down after the con is over.

Position: Security Chief


Time Requirements: low to total
  10-3 months pre-con: 3+ hours/month
    3-0 months pre-con: 12+ hours/month
  at the con: 100% time commitment
Meeting Requirements: Concom
Suggested Additional Meeting: Staff Briefings (one pre month from march on -optional)

Duties:
Pre Con: Making workable policies and adjusting to needs of others as they arise. Recruiting and staffing.
AT CON: Anything and everything that makes the Convention a safe, secure and fun
place to be.   This includes "after hour" watch of the late night rooms.
- Badge Checking: checks to make sure that attendees have proper badges.
- Lost and found: takes possession of lost items, tries to reunite lost attendees with found items.
- Medical: works with and usually coordinates EMTs to deal with minor medical issues. 
- Security: Protects equipment and money stations as required.

Position: ConSuite Organizer


Time Requirements: 12 months if at all possible - first 11 months, light (5 - 10 hours a week)
- month before the con, High (10-15 hours a week)- 
@ Con, extreme (depending on amount of volunteers <how many volunteers for you have for high volume, and for setup and clean up> you could potentially be in the suite the whole time the suite is open).

Meeting requirements: attend as many Concom meeting as you can to communicate with the Concom.

Note : preparing food items and storing them in advanced cuts down on at Con food preparation.
Note : Having a good volunteer base is good to have.  Post the schedule for times to the volunteers often so that either side doesn't forget about volunteering.
Note : Try to have a least one person who is not planning on attending the Con to help out in the suite for each day, and it can be a different person each day ( if any volunteer(s) falls through you have one other person to help out that is reliable).

Duties:
  -To attempt to solicit as many food stuff donations as possible for the ConSuite.
- when a donation is promised make a list of what store/company the donation is from.
 -keep in contact with them through out the year to remind both parties as to the donation if possible.
 -contact store/company a few weeks to a month in advanced to make arrangements to pick up the donation.
 -Attempt to get as many volunteers as you can for the Suite.  The more the merrier for you.
 -make a schedule and keep in contact with volunteers through out the year or as they volunteer.
  -To lessen the financial burden on you begin to purchase nonperishable items a few months in advanced.
  -Prepare as much food in advanced as you can so that it can be heated and severed at con with less prep time (of coarse if you have ample freezer, refrigerator space depending on how far in advanced the prep is).
  -Arrive at the con a few hours before the con officially opens to give yourself and help enough time to set up before opening.
    -Make sure that volunteers have arrived and that everything is okay before leaving the suite.
    -Keep at least some munchies and drinks on the table at all times.
    -Make sure that perishables are kept at an good temp to avoid spoiling.
    -Keep the room as picked up as possible.

Dealer's Room


Time Requirement: Medium, High at the con
12 to 3 months before con: 5+ hours a month
3 months to con: 20+ hours a month
At con: 1 hour before set-up opens, dealers set-up, all hours dealers room is open, tear-down
Meeting requirements: Concom, vendor meeting before room opens

Duties:
- Recruits, tracks and communicates with vendors
-Tracks and accepts table payments, gives to treasurer with information
- Works with preregistration to have badges made and to get vendor info into database
- Sets rules in accordance with Concom directives, makes sure vendors are in compliance with rules and state/federal laws as necessary
- Organizes room set-up, gets set-up plans to Hotel Liaison, assigns tables to vendors
- Works with Hotel Liaison to make sure vendors have best access for set-up/tear-down.
- Writes articles for publications. Works with web site to get vendor info on web according to guidelines
- Troubleshoots at con as required
- Organizes room tear down

Publicity Coordinatior


Time Requirements: VERY HIGH
12 to 9 months pre-con 1-2 hours a week
9 months to con: 3 Hours a week
at Con: None your job should be done.
Meetings  Requirements: Frequent Concom

Duties: Organize and facilitate ALL publicity of CONduit. Do this through flyers, bookmarks, posters newspapers, magazine and on the web and all other media as you deem fit and beneficial within your budget. 

Flyer Designer (Usually is the Publicity Coordinator)
Duties: Design all print materials to use for publicity of CONduit. Update flyers and such as needed. Prints, makes flyers available at Concom meetings

Outlet Sales Organizer


Time Requirement: Medium
12-9 month pre-con: 1 hour a month
9-1 months pre-con: 2-5 hours a month
1 month to con: 2 hour a week
Meeting Requirements: Frequent Concom

Duties: Organize Out let sale with stores (Hastur Hobbies, Bookshelf In Ogden, Comic Utah and Dragons Keep in Provo) for the sale of our memberships in exchange for a 1/2 page ad in our program book. Organize outlet sales packets with receipts and envelopes to hold money and our copy of the receipt until you pick them up. Pick up ads for program book before April meeting and Deliver to Program book editor.

Anime Chief


Time Requirement: Med
- 12 months to con: 3 to 15+ hours per month
- At-con: variable depending on the number of volunteers (24 hours/day if you don't get any help)
Meeting Requirements: Concom, at least 1 programming meeting, Anime committee if  desired

Duties:
- Schedule movies/TV shows for the Anime Room ~53 hours from 12 noon Friday to 5 pm Sunday--the AR runs 24 hours/per
- Obtain VHS tapes/DVDs of the movies scheduled to play--many people are happy to let you borrow from their collections if you ask nicely and are responsible about returning them in good condition
- Recruit, organize, and lead volunteers
- Prepare any desired AR advertising materials to display around the hotel in approved areas
- If desired, solicit giveaway items from vendors and come up with a plan for giving them away
- Oversee setup and teardown of AR and rental equipment (TV, VCR, DVD player)
- Get some sleep (if you're lucky)

Media Wrangler - CONduit Media Wrangler


Time Requirement: Low
12 months to 3 months pre-con:  1+ hours a month
3 months to con: 2+ hours per week
At-con: 3+ hours
Meeting Requirements: Most Concom meetings as needed,   Provides at con access to any media.  Works closely with the Chair, Security, Programming and  any other CONduit Departments

Duties:
 Ensure media support especially at con under the direction and policies of  CONduit.

Program Book - Program Book Editor -


Time Requirement: High
12 months to 2 months pre-con: an hour or two a month on occasion.
2 months before con until approx 2 weeks before con: 10 to 20+ hours per
week
At-con: nothing past getting the program books to registration.
Meeting Requirements: Frequent Concom, it is also helpful to attend occasional sub-committee meetings, particularly programming meetings

Note: A reliable printer who delivers on time minimizes at-con time.
Note: The time requirements for this position will vary widely on an individual's standard of quality for the finished product.
Note: The individual who takes this position needs to have either excellent organizational skills or an excellent memory for tracking various ad, art, and text submissions so as not to miss anything.

Duties:
Lay out Program Book and prepare either camera-ready copy, pdf, or postscript files for the printer (depending on what the printer is able to work with).
Edit Program Book (be prepared to almost wholly rewrite some sections and even completely write others).
Procure ads for Program Book or request that this duty be assigned to someone else.
Procure art for Program Book or request that this duty be assigned to someone else.
Choose a page size, estimate the number of pages, and bid the book out to printers (we had 800 copies printed for cons 10 to 12).
Choose two good proofreaders to read through your final mockups, also proofread it yourself (this is optional, but will improve your book--also the number of proofreaders is optional, but more than two can make the task of collating and entering changes too large at such a late date, while fewer will probably not catch all the important changes.)
Be prepared to aggressively track down and procure the text information. Bear in mind that many people don't submit their information at the deadline and you will likely have to track information down.

Contest Coordinator - 

Time Requirement: Low
12 month to con: 1 to 2 hours a month
At-con: 2 to 3 hours a day

NOTE: The contest coordinator isn't required to run any contests (although by default they usually do). The point of this position is to make sure that contest information gets to where it needs to be and that the winners are tracked and announced.

Duties:
- Works with those running contests to make sure the rules get set in a timely manner.
- Makes sure that the website and publications get rules and articles as needed.
- Looks out for places to publicize the contests.
- Gathers contest winners info right before and during the con. Looks at ways of announcing the winners such as: announcements at large events; adding winners to the Wall of Fame poster (provided by contest coordinator); sends info post con to the website coordinator.

Short Story Contest

Time Requirement -- Low to Moderate  (approx 3-5 hours per month, higher between competition deadline and CONduit)


 

Duties:  Prepare contest description, rules and entry forms.  Prepare HTML format of each for posting to CONduit website.  Solicit sponsorships from appropriate organizations, individuals.  Prepare publicity to solicit entries.  Publicity needs to be distributed at least three times prior to the competition deadline -- July, October, 15-30 days before final deadline.  Distribute contest information to magazines, websites, organizations for writers, CONduit publications.  Arrange for judges.  Duplicate entries and distribute to judges.  Compile judging results.  Notify winners.  Prepare and distribute prizes.  Return manuscripts as requested by entrants. Update website to include current year's winners in the "Contests" area.


 

Prepare the content for the publications. 


 

Skills needed:   Good organizational skills.  It's helpful if you're good at begging things from people too.

Screenwriting Competition Coordinator


Time Requirement -- Low to Moderate  (approx 3-5 hours per month, higher between competition deadline and CONduit)


 

Duties:  Prepare contest description, rules and entry forms.  Prepare HTML format of each for posting to CONduit website or send info to website.  Solicit sponsorships from appropriate organizations, individuals.  Prepare publicity to solicit entries.  Publicity needs to be distributed at least three times prior to the competition deadline -- July, October, 15-30 days before final deadline.  Distribute contest information to magazines, websites, organizations for screenwriters, CONduit publications.  Arrange for judges.  Duplicate entries and distribute to judges.  Compile judging results.  Notify winners.  Prepare and distribute prizes.  Return manuscripts as requested by entrants. Inform Contest Coordinator of winners.


 

Prepare the content for the publications. 

Skills needed:   Good organizational skills.  It's helpful if you're good at begging things from people too.

Duties: Prepare blurbs for PR 1 and 2, Program book and Web site. Contact Miniatures and Models Companies for donations for prizes. Organize and run contest including finding 3 qualified judges and a display case to hold fig and models in. Awards prizes, inform Contest Coordinator of winners.
